Overview

Muufactor is a B2B digital factoring platform that connects suppliers, clients and financial partners. The product centralizes supplier onboarding, document management, tax invoice validation and the workflows required to turn eligible invoices into factoring operations.

As Product Designer, I translated the needs of these different user roles into clear financial workflows, focusing on reducing operational friction, improving transparency and helping suppliers access liquidity without disrupting their operations.

Suppliers

Suppliers may struggle with cash-flow gaps while waiting for invoices to be paid, putting their daily operations and the continuity of the supply chain at risk.

Execution time

Manual and time-consuming processes for submitting invoices and completing validations delay funding.

Procedures

The factoring don’t depend only on make an early payment of an invoice. For a succes operation, the product must ordenate suppliers’ information, files, tax invoices, user validation & operations between different companies.

Onboarding user register

Pre-calculus factoring

Supplier can select the approximate date as a proposal.
Supplier can select the best bank anchorage that the client are able to offer.
The supplier can view the factoring calculation in real time.
Factoring application
User can view the client’s approval status (in this scenario, it has not been approved).
Client can select the real date and a better rate of payment as a proposal.
Client can check all invoice data.
System shows the reliability of the supplier (69 and 69-B lists)
Accounts payable
Payments cannot be automatically linked to factoring processes; they must be entered manually. You can either upload the payment receipt or simply mark the process as paid.
Digital signature
Signing documents with the FIEL constitutes legal acceptance; traceability and transparency are the pillars of this project.
Document catalogs
File types can be created according to the client’s needs.
Any type of file can be created, tailored to the profile of the party who will be using the system.

Roles & business rules

Validated access and responsibilities for each participant: suppliers join by client invitation, clients manage supplier requirements, and financing partners evaluate supplier reliability through operational data and client history.

Technical feasibility

Validated high-volume and automated processes through asynchronous invoice processing, XML-based factoring eligibility, pre-approved invoices, and integrations with Diverza and Acertia.

Edge cases & constraints

Defined critical exceptions and system limitations: rejected invoices cannot re-enter factoring, invoice eligibility is determined from XML data, and payment evidence must still be uploaded manually.

Pre-approved invoices are surfaced so suppliers can quickly identify which invoices can move into factoring.

Centralized visibility

Dashboard brings income, pending processes and operational statuses into a single view.

Project learning

Complex financial workflows need visible structure

Breaking the experience into clear roles, states and steps made a multi-party process easier to understand and operate.

Automation is most valuable when it removes coordination

Pre-approved invoices, asynchronous validation and digital signing reduced dependencies between participants and shortened the factoring cycle.

Product design must account for system limitations

Not every step can be automated, so the experience had to clearly handle constraints such as manual payment evidence and rejected invoice states.
